Your Pass and the Event
- All pass holders will receive a wristband upon registration, aligning to their purchased pass. You are required to wear this wristband at all times during the event (ELX 2025) in order to be granted access to parties that are included in your chosen pass.
- The pass/wristband is issued on an individual basis to the registered attendee. It cannot be shared between dancers, unless agreed via a Community Fund application.
- If you are proficient at dancing in both lead and follow roles and wish to dance both roles over the whole weekend, you can buy a switch pass. By purchasing a switch pass you are committing to dance equally as lead and follow over the weekend so that ELX 2025 stays nicely balanced and everyone can have lots of dances.
- The Organiser reserves the right to change the schedule, venues or other event content at any time. Any changes will be communicated in advance via social media and/or email.
Responsibilities
- Swing dancing is a physical activity done in close proximity to other people – by registering, you accept all risks involved. The Organisers cannot be held responsible for any physical injuries or illness that may occur during, or as a result of, the event.
- The Organisers are not responsible for participants’ personal possessions while at the event and cannot be held responsible for any loss, theft or damages.
- All damages caused due to antisocial behaviour or otherwise are the sole responsibility of the wrongdoer, including all costs that may be incurred to make replacements or repairs.
Refunds & Cancellations
- ELX 2025 passes are refundable until 18th July 2025. Please note that Stripe fees are non-refundable and will be deducted from any refund issued. From 19th July 2025, tickets are non-refundable; however, you are permitted to transfer your pass to another dancer of the same role (see item below).
- From 19th July 2025, if you are no longer able to attend, you may transfer your pass to a waitlisted dancer of the same role. Please contact us at bookings@edinburghlindyexchange.co.uk so we can facilitate this. Please note that tickets to Edinburgh Lindy Exchange cannot be sold, exchanged or transferred to another person without express permission from the organisers.
- In the event of a natural disaster, pandemic (including government-enforced lockdown), or the like, we cannot guarantee a refund, but we will do our best to offer any fair compensation that we can afford.
Community Fund (instalments)
- When applying for the Community Fund, dancers cannot opt to receive both a scholarship and to pay in instalments.
- A ticket to ELX is not fully confirmed until all three instalments are paid. Tickets are allocated only once all payments are made.
- Paying in instalments is only available to dancers opting for a full pass. A full pass is priced at £125 up to 18/08/2025 and £135 after 18/08/2025.
- Payments must be made via bank transfer to the details provided via email. Other payment options are not available.
- If an instalment is missed or underpaid, the dancer may forfeit their ticket and have previous instalments refunded.
- The ELX team will send out payment reminders a week before each instalment deadline.
- If you are unable to make an instalment payment, for any reason, you must email bookings@edinburghlindyexchange.co.uk to let the ELX committee know.
- If a dancer opts to pay via instalments after the first instalment date of 1st June 2025 has passed, instalments 1 and 2 (£85 total) will be due at the second instalment date of 14th July 2025.
- Paying in instalments is only available to dancers applying for a ticket before 14th July 2025 (due date of instalment 2).
- On 18th August the price for an ELX full pass will increase from £125 to £135. If, for any reason, the last payment instalment date of 18th August is missed, the dancer must pay an additional £10 to account for the increased ticket price.
- If all other instalments have been paid at the expected price, this will make their final instalment £50 instead of £40.
- If a dancer decides to pay the total cost of a full pass (£125), before the final instalment date, they should email the ELX committee to let them know. The ELX committee will then release their ticket to them to purchase as soon as possible.

- If the dancer does not email to ELX committee to notify them of payment completion, their ticket will be released after the following payment instalment date.
Data Privacy
- Any information provided by attendees, during booking or otherwise, will be used solely for the purpose of running Edinburgh Lindy Exchange. Data will not be shared with third parties
- Official event photographers/videographers may be present at ELX 2025, and images of attendees may appear in media outputs. These media are the property of Edinburgh Lindy Exchange and may be used for any purpose relating to Edinburgh Lindy Exchange. If you do not want to be photographed, please make this known to both the organisers and the photographer/videographer on arrival.
Code of Conduct
- Attendees should familiarise themselves with and follow the Edinburgh Lindy Exchange Code of Conduct while at the event.
- Any behaviours witnessed at the event, outwith the Edinburgh Lindy Exchange Code of Conduct, should be reported to the Organisers as soon as possible.
- The Organisers reserve the right to refuse entry to or remove anyone who breaches this Code of Conduct.

By purchasing a ticket to ELX 2025, attendees confirm that they have read and fully accept the Terms and Conditions and the Edinburgh Lindy Exchange Code of Conduct.
Edinburgh Lindy Exchange reserves the right to modify or replace any terms and conditions contained herein at any time and at its sole discretion.
